Travel InformationInvited participants should plan to arrive in Gainesville no later than Sunday, November 9, and plan to leave no earlier than 2p.m. on Wednesday, November 12. If a participant wishes to stay until Thursday, hotel and meal expenses for Wednesday evening and Thursday will be covered by the grant. Flight Information
Flight InformationGainesville Regional Airport is served by Delta Airlines and U.S. Airways. The cost of your round-trip air ticket (coach class) will be reimbursed but you must make your own flight arrangements. Please do so soon. Gainesville is a small city with few flights/day. A receipt will be required for reimbursement (ticket and copy of itinerary or copy of e-ticket with information on how ticket was purchased - usually on the second page of the e-ticket). The Hilton offers a shuttle service to take you to and from the airport, which runs from 7am to 11pm. If your flight departs outside of these times, a hotel bellman will help you arrange for a taxi. If you let us know your flight schedule ahead of time, we will arrange for the hotel shuttle to transport you to/from the hotel. Email Griffin Sheehy at gsheehy@flmnh.ufl.edu or call 352-392-1721, ext. 483. You also can call for the hotel shuttle from the airport phone board at the luggage area once you arrive. Or, you may take a taxi to the hotel and be reimbursed for the cost. A list of taxi services is further down on this page.
DrivingIf you drive, you will be reimbursed for mileage at the rate of $0.29/mile.
Mileage reimbursement exceeding the cost of a round-trip air ticket must
be justified (e.g., collecting specimens en route). If you wish to be reimbursed for the cost of a rental car,
you must use Avis.
Simply call the direct line to the state of Florida desk and give them the UF price code.
AccomodationsIt is not necessary for you to contact the hotel before you arrive; if you have received a confirmation email, a single room has been reserved for you at the University of Florida Hotel and Conference Center (Hilton) for three nights beginning on Sunday, November 9. However, if you wish to confirm that a room is reserved in your name, you may do so by calling 352-371-3600. If you wish to stay a fourth night (Saturday, Nov. 8 or Wednesday, Nov. 12), please email Griffin Sheehy or call 352-392-1721, extension 483 and let him know. The grant will pay for up to four nights at the hotel. If you wish to stay longer (e.g., to work in the collections at the Florida Museum of Natural History), you must contact the hotel by calling 352-371-3600 and arrange for a longer stay at your expense. You will be given the special conference rate if you contact the hotel before October 20.
Meals & ReceptionsA continental breakfast, coffee break, and lunch will be provided each day (Monday-Wednesday) at the hotel. On Monday evening, a reception will be provided by the Florida Museum of Natural History. You will be reimbursed for other expenses that you may have for meals during the workshop (up to $21/diem). Receipts for meals are not required. Costs for alcoholic drinks are not reimbursable. The cost of a taxi ride to/from the airport or a restaurant is reimbursable up to $25/trip without a receipt.
