Note: If you are a Mac user or are attempting to access WebMail through a slow dial-up connection, you should use the Express WebMail interface instead. View the WebMail Express tutorial.
Only Microsoft Internet Explorer and some versions of Netscape/Mozilla/FireFox web browsers are supported at this time. You may experience problems or be denied access entirely if you attempt to use other browsers.
Login
To access web-based email for Florida Museum of Natural History staff, open a web browser and type the following into the address window: http://webmail.flmnh.ufl.edu. This should bring you to the screen below.
Enter your museum email username and password and click on the "Login" button.
Entry
The next screen should be the one below, provided a correct username and password have been entered. If there are new emails are on the server, they are shown in blue. Always remember to click on the "Sign Off" button when exiting WebMail.
Reading Email
To read your email, click on it once to view in the preview pane below. To open the email in a separate window, click on it twice.
Note: All emails you read while using WebMail will still be marked as "unread" when you open your email client (Eudora, etc.) on your museum computer. This is because when you check your email at work it downloads the mail off of the server and onto your computer's hard drive. (This is why any email you have already opened on your museum computer will not show up in WebMail - it displays what is new on the server only.) When you use WebMail, it does not download the messages anywhere and just leaves them on the server. Therefore, when your client access these messages, it downloads them for the first time and interprets them as new messages. If you delete messages while using WebMail, you delete them off of the server and they will never appear on you local email client. Be careful!
Composing Email
To compose an email, click on the "Compose" pen in the upper right-hand corner of the menu bar.
Note: When you send an email using WebMail, it will save a copy in its "Sent" folder, but this will only show up in WebMail and will not be in your Sent folder on your local museum computer. If you would like a record of the email you are sending for your local email client, be sure to CC or BCC it to yourself.
Account Settings
To view your account information, click on the + next to "Account Settings" to expand its options.
Changing Your Password
To change your email password, click on "Password."
Enabling Autoreply (Vacation Message)
Autoreply is a "vacation message" that will automatically be sent to whomever emails you while you are out of the office. To enable this feature, click on "Autoreply" under the Account Settings menu. Type in your subject and message, then be sure to click the "Send an automatic reply to incoming mail" checkbox and then OK to enable. To stop the autoreply feature upon your return, uncheck the "Send an automatic reply to incoming mail" checkbox and then OK to disable.
Be aware that if you are subscribed to any email lists, this message will be sent to EVERYONE on that list EVERY time an email is posted to that list. Needless to say, this is highly annoying to others and very poor "netiquette" - BE SURE TO UNSUBSCRIBE from any such lists before enabling this feature. You can subscribe again after your return. If you would like to continue getting listserve emails while you are away, we recommend NOT using this autoreply feature.
Note: The bottom checkbox determines how often someone can write to you and still receive an autoreply. For example, if you moved the number of days to "30," the first time someone writes to you, they will receive your autoreply. However, if they write to you again in say, seven days, they will NOT receive an autoreply. If they let 40 days go by and then write to you again, they will receive the message. Unless you feel you have a good reason to change this, we recommend leaving it set to "1."
Forwarding FLMNH Email to Another Account
To forward your mail to another account, click on "Forwarding" under the Account Settings menu. Clicking on the "Add" button will bring up a box for you to enter the email address you would like your FLMNH email forwarded to. Be sure to click OK when finished. We recommend that you uncheck the "Keep a copy of the message" checkbox - if you do not, our server will keep a copy of each of your emails in both places and will waste valuable server space.
